A language school is a ladder of levels. A student starts French at beginner A1 to A2, moves on to a B1 batch, and might add German or IELTS preparation later. Spoken English schools run basic to advanced, business English and public speaking in parallel. The challenge is keeping batches, levels and fees straight as students move through them.
Levels as courses, runs as batches
Set up each level as a course in your catalogue, with its duration and planned hours: Spoken English basic to advanced, French beginner, German intermediate, Japanese for JLPT N5, IELTS preparation. Moving students between levels
A student has one profile. When they finish a level and start the next, you enrol them into the new batch and their history stays in one place. There is no re-entering of names, phone numbers and guardian details each time.
Trial classes and enquiries
Language schools get a steady stream of people asking about fees and timings. Put each one on the lead board, record the call, choose a follow-up date and note the language or exam they want. When they sign up, convert the lead into a student. Because every touch is logged, a colleague can pick up the conversation without asking what was said.
Fees across levels
Record cash and UPI/QR payments with a numbered receipt for each one. A student who pays level by level keeps one clear ledger, and refunds or credit notes, for example when a batch is cancelled, are recorded properly.
